The Spa Beechworth - Terms & Conditions
All appointments are paid in full at time of booking. If you are paying with a gift voucher, please quote the voucher number when booking.
Group Booking Policy
All group bookings require a holding deposit of $250.00 to secure a date whilst you confirm the people attending and their treatment selections. The total group booking must be paid in full 30 days prior to the booking date. We request all payments excluding the initial holding deposit be made directly into our bank account with an email confirmation sent at time of deposit. Sorry, we do not accept gift vouchers as payment for any group bookings.
We understand things out of our control happen in life. We politely ask for 48 hours notice (within our operational days of Wednesday to Sunday) if you cannot make your scheduled appointment. Failure to do so will regrettably result in the 100% forfeit of your total booking amount. Making an appointment with The Spa Beechworth is acknowledgment of this cancellation policy.
COVID: If you need to cancel or request a refund because of government restrictions or illness, we completely understand and a full refund (minus the transaction fee issued by our payment provider - stripe of approx. 5% of the total booking). However, if you prefer a credit note - than 100% of your booking value will be honoured and you can book with confidence in the future.
Group Cancellation Policy
Late cancellations or changes to group bookings will activate the following cancellation policy: Cancellation made 14 days prior to the booking date will not incur a cancellation penalty, but we will be sad to see you go. Cancellation made 14 to 8 days from the booking date will result in forfeiting 50% of the total groups payment. Cancellation within 7 days will result in forfeiting 100% of the total groups payment – this may be waived only in the event that we are able to fill the cancelled time slot from our waiting list.
Please arrive at the spa at least 15 minutes prior to your appointment. This will allow you time to change and enjoy a welcome drink. Treatment times are approximated and will include a verbal consultation with your therapist.
Your late arrival may compromise the full length of your treatment. Plan your ‘time-out’ carefully, as all treatments conclude at the scheduled time. Guests are welcome to arrive earlier than their recommended arrival time to enjoy their surroundings prior to their treatment.
We ask that you keep your voice to a minimum to be respectful of clients receiving treatments. This time is for you and we would like your time to be as peaceful and quiet as possible. Please note that entry to The Spa Beechworth and invitations to re-book are at our discretion.
Your health and wellbeing are our top priority. For your safety, you will be asked to complete a confidential questionnaire prior to booking. This form will be emailed directly to each person and must be emailed back to us at least 7 days prior to your booking. The questionnaire includes your medical history, including any medical conditions, pre existing injuries, infectious diseases, skin conditions, allergies, and pregnancy. Our team will ensure that your service is suitable, and we reserve the right to refuse treatment if not safe or recommended. If at any time during your services you experience discomfort, please alert your therapist immediately.
All our staff are qualified in their respective services. You will always be treated by a caring, qualified professional. We have both male and female therapists. If you have a preference, please let us know when you make your reservation.
Whether it’s the room temperature, the amount of massage pressure, number of pillows or conversation level, please notify us of any preferences. Our qualified therapists are trained to respect your comfort and privacy.
For any additional dietary requirements, allergies, conditions (including pregnancy) or disabilities not advised at the time of making the reservation, please contact us so we can assist in making the appropriate choices or modifications. Whilst all care is taken, The Spa Beechworth cannot guarantee any of our treatments (or catering) are completely free from traces of allergens or appropriate for any medical condition. Please seek prior advice from your doctor or healthcare professional. Patients being treated for chronic medical conditions or cancer should provide a written clearance from their doctor.
Pregnancy and Breastfeeding
Unfortunately, our therapist cannot perform treatments on you if you are in your first trimester (only second and third), unless you sign a waiver. Due to increased sensitivity and various hormonal changes, there are some treatment contraindications and special precautions for pregnant and breastfeeding mothers. We recommend you check with your doctor on your individual needs prior to booking any treatment. If you have any concerns regarding sensitivity, please consult your doctor prior to booking.
Our group events and salon service are located on the first floor, due to staircases and lack of lifts, The Spa Beechworth is unsuitable for wheelchairs, prams, or for some elderly or mobility-impaired guests. We sincerely apologise for any inconvenience.
Mobile Phones / Technology
To preserve the tranquillity of the spa, we respectfully request that mobiles be turned to silent when you enter. No phones are permitted in our treatment rooms however we understand you might like to capture or share your experience pre or post treatment. Our social media handle for instagram and pinterest is @thespabeechworth. We also welcome you to repost any of our socials as long as you give us a shout out.
The Spa Beechworth is not a medical centre and can not offer advice regarding the suitability or appropriateness of any of our treatments for any medical condition or compatibility with any prescription or professionally administered medication. any information provided by The Spa Beechworth, including by its employees or agents, should not be construed as a substitute for professional medical advice. The Spa Beechworth can refuse you treatment if we deem that any of your medical conditions may cause harm to you, our staff or other clients.
The Benev - Terms & Conditions
These terms and conditions apply to all accommodation Services made available by The Benev Pty Ltd. By making a reservation for accommodation, guests warrant they have read these terms and conditions and agree to be bound by them subject to changes as are notified to them. Please read the Terms and Conditions of this website carefully as any use of the website by you constitutes acceptance of the Terms and Conditions set out below. Throughout this site, the terms “we”, “us”, “our” refers to The Benev and any of its affiliated companies.
All accommodation is subject to availability. The Benev will endeavour to provide accommodation but reserves the right to refuse requests for bookings or actual bookings.
Two-night minimum stay on weekends (bookings on Fri or Sat nights).
Three-night minimum stay: Christmas/New Year holidays: 23rd Dec – 2nd Jan, Easter Holidays: Good Friday – Easter Monday and Public Holiday Weekends. Rates are per room, per night based on two-person occupancy. Maximum occupancy is two people per room.
Check-in time is 3 pm. Check out time is 11 am.
Pets are not allowed.
Children aged 18 and under are not catered for and The Benev reserves the right and full discretion to not accept bookings for children within this age bracket. This means you won’t need an excuse to leave the kids at home – you can just blame us.
All Accommodation and Experience bookings must be fully paid for at the time of reservation by provision of credit card details. A booking confirmation email must be obtained. If a booking confirmation email is not obtained, the booking is not confirmed. It is the responsibility of guests to review the booking confirmation email and promptly advise us if there are any errors or misunderstandings.
By providing credit card details, guests warrant they have the authority to use the credit card and they authorise Idyllic Lifestyle Pty Ltd to charge the cost of their booking(s) to that credit card. Where guests make bookings for experiences including spa treatments, food, beverage or retail prior to or during their stay, the price will be charged to their room for full payment through the guaranteed credit card.
In the event Idyllic Lifestyle Pty Ltd T/As The Benev or a third-party operator cancel an Experience booked by guests, all monies paid for that experience booking will be refunded in full within 14 days of the date of cancellation. The liability of The Benev arising from any cancellations of accommodation or Experiences by The Benev or a third-party operator is limited to the amount paid for the canceled booking.
Certain areas of the property may at times be reserved exclusively for Group Bookings, at the full discretion of Idyllic Lifestyle Pty Ltd.
It is highly recommended that Spa bookings are made well in advance of your stay. Spa charges for treatments and retail may be added to a guests suite account and will be automatically charged to the guests' credit card on file prior to check out. The Benev reserve the right to charge any services/items not paid for by the guest at the time of check out to the guaranteed credit card for that suite.
FOOD AND BEVERAGE
Following a stock take of community larder and honesty bars after guest check out, The Benev reserve the right to charge any items not paid for by the guest at the time of check out to the guaranteed credit card for that room.
At the time of booking, The Benev will request a valid credit card to secure the reservation and a deposit of 100% of the total reserved accommodation value will be charged onto this card. The remaining balance of any extras including Spa Treatments, Honesty Bar, Experiences and Retail will be charged onto the valid credit card used to secure the reservation on guest check-out.
Gift vouchers are non-refundable and have a 36-month expiry date from date of issue. Gift vouchers are not transferable or redeemable for cash.
CANCELLATION, AMENDMENT AND NO SHOW POLICY
In the event of a booking amendment or cancellation, guests are entitled to an amendment or refund of their booking deposit UNLESS one of the following applies:
Where a booking is amended or canceled after 5 pm 21 days prior to the arrival date, the booking will not be amended or refunded.
No amendment or refund will be granted where a booking is amended or canceled for a stay(s) between 23rd December and 2nd January inclusive; or for the part of the booking which falls between these dates.
No amendment or refund will be granted in the event a guest does not arrive for their booking or amends or cancels on the date of their booking.
An amendment or cancellation confirmation email must be obtained. If an amendment or cancellation confirmation email is not received, the booking remains in effect.
If you need to cancel or request a refund because of government restrictions or border closure, we completely understand and a full refund (minus the transaction fee issued by our payment provider - stripe of approx. 7% of the total booking). However, if you prefer a credit note - then 100% of your booking value will be honored and you can book with confidence in the future.
North East Victoria is occasionally subject to natural flooding & fire. On such occasions, this can prevent guests from reaching or leaving The Benev because it would be unsafe to do so. Due to this, we recommend that all guests purchase appropriate travel insurance when visiting The Benev. By making a booking at The Benev you agree to the terms and conditions set out in The Benev Weather Policy. Please refer to our website for information relating to this policy.
Accuracy, completeness and timeliness of information: We are not responsible if the information that we make available on this website is not accurate or complete. Any reliance upon the material on this website shall be at your own risk. You agree that it is your responsibility to monitor any changes to the material and the information contained on this website.
Any non-personal communication or material you transmit to this website by electronic mail or otherwise, including any data, questions, comments, suggestions or the like is, and will be treated as, non-confidential and non-proprietary. Specialising as a luxury day spa and a general wellbeing store, we pride ourselves on providing exceptional customer service and quality beauty and lifestyle products. We endeavour to make sure that all treatments and products listed on our website are currently in stock and pricing is true and correct. In the event that an ordered item is not available, or we are unable to fulfil your order, we will notify you within 2 business days to arrange an agreeable alternative item, a back-order or a full refund. If for any reason we are unable to dispatch your order, we will notify you within 2 business days.

Gift Voucher Policy
Whilst all vouchers have a 3-year expiry from the date of purchase, we kindly ask you to redeem your voucher within a 12-month period. If a treatment is chosen for the voucher, the treatment value is guaranteed for 12 months. After the 12 month anniversary, the remaining 2 years until expiry will be the original purchase price of the voucher.
The voucher cannot be redeemed or replaced after its expiry date and must be used by one person in one visit.
The Spa Beechworth is not responsible for replacing a voucher that has been lost/stolen.
Gift vouchers are non-refundable, cannot be exchanged for cash or used to purchase other gift cards, nor can they be used with any other offer and/or special at The Spa Beechworth. Please note before booking, we do not accept gift voucher redemptions on public holidays.

We ship to all destinations within Australia via the Australia Post.
Free Post: Available for all gift voucher orders.

Orders received before 12:00 pm Wednesday to Friday will ship the same day. Orders received after 12:00 pm will ship the next business day. We do not ship orders on Saturday or Sunday. Shipping times are estimated below:

If for any reason you are not satisfied with your purchase, or if the item you have purchased is damaged, incorrect, or faulty, please email us at firstname.lastname@example.org.
We will gladly offer a store credit on all products returned to us within seven days of your receipt, provided they are returned in their original packaging in an unopened and unused condition. Please be aware that due to Australian hygiene regulations we cannot offer a refund, replacement or exchange on items returned in non-saleable condition or that do not have a tamper closure.
You can choose between a refund, exchange or store credit where goods are faulty or are different to the product purchased on the website. We do not accept returns on sale items. If in the unlikely event you receive a faulty item or an item that you have not ordered please email within 2 days of receiving your parcel. Please quote your invoice number and daytime telephone number so that we can contact you to discuss the return and issue you with a returns approval authorisation.
The Spa Beechworth is not responsible for individual reactions or irritations a product may cause. We encourage you to thoroughly read the ingredients list on the product page on our website or on the products in store to ensure the ingredients are safe for you to use. Please contact our customer service team if you require further information on any product before purchase.
Please return your product via Registered Post. Any items for return must be received in the original condition they were sent; i.e. unopened boxes, labelling and contents to be intact and in a stable condition, to The Spa Beechworth. The Spa Beechworth will not be responsible for parcels lost or damaged in transit if you choose not to insure. Returns are to be received by The Spa Beechworth within 7 days of the returns approval. Any refunds will be credited to the original method of payment.
